Project Coordinator | Administrator - Real Estate Development

***ATTENTION: This is an role in Markham, ON (daily commute). It is a full-time salaried role. Candidates must be able to relocate if outside of the province or able to communicate to sites as required.

Full-time, Permanent, 8-hour shift Monday to Friday, Overtime and weekends may be required***

We are searching for a detail-oriented person who can keep track of several tasks, manage others, complete administrative duties, and perform preliminary research. The person to be (preferably) hands-on or the ability to quickly master platforms such as Wrike (Project management), Slack (Communications), DingTalk (Communications) and Microsoft Office. The Project Coordinator will join their team in Markham, Ontario. The successful candidate will perform administrative, scheduling, coordinating, online research & Reporting under the direction of the Management and Sales Team.

Roles & Responsibilities.

A) General Administrative Tasks & Coordination Oversight.

  • Create the goals and objectives of the project, document. Ongoing maintenance of updating goals and objectives as they change. Maintain control of the direction of the project.
  • Drive the agenda and ensure the project is on track for the estimated sales launch date
  • Ensure all departments have the resources and support needed to accomplish their jobs
  • Coordinate with third-party consultants
  • Identify & coordinate with internal Marketing Manager, Sales Manager, and Sales reps (Broker + Direct Buyer), stager (for sales centre), third-party research analysts
  • Deal with all invoicing and payment-related matters
  • Perform/complete all administrative duties

B) Project Coordination.

  • Assis with preparing tender packages, reviewing quotations, and presenting results
  • Manage changes to schedule cost-effectively, and report on the same
  • Prepare project documentation, agendas, meeting minutes, and reports
  • Lead meetings as required; setup kickoff meetings with all internal staff

C) Project Sales, Procurement,

  • Assist with Sales Launch Plans
  • Track progress of APS (Agreement of Purchase and Sale) + Signing. Maintain/Obtain estimated completion dates for APS and Signing
  • Ensure all schedules, declarations, and disclosure documents are completed
  • Obtain final unit matrix for signing, pricelist, and marketing.

D) Research, Reporting & Marketing Coordination

  • Perform online market research, extract key statistics and information, and produce a reporting document summarizing all the statistics/research found
  • Assist with Marketing & Event Management per launch

Qualifications & Skills.

  • Minimum of three (3) years experience in a project coordination and administration position (within the midrise/low-rise residential building industry preferred)
  • College/University degree in business, finance, analytics, or economics.
  • Strong communication skills, and knowledge of MS Office
  • Proficient or having the ability to quickly learn platforms such as WRIKE (Project management), Slack (Communications), and DingTalk (Communications).
  • Real-Estate License is an asset; (not required)
  • PMP Certificate would be an asset; (not resuired)
  • Strong knowledge of computers and ability to quickly perform administrative tasks on them
  • Self-motivated with organizational, time management, detail orientation, and problem-solving skills
  • Ability to manage/build client relationships and create a positive work environment and medium
  • Strong attention to details
  • Valid driver's license

Logistics & Working Conditions

  • Candidates must be willing to relocate to Greater Toronto Area if outside of the region
  • Eligible to work in Canada without restrictions
